This Data Retention Policy (“Policy”) explains how we manage and retain customer data in connection with our Customer Relationship Management (CRM) web application (“Service”).
This Policy is part of our Terms of Use and should be read together with our Privacy Policy.
1. Scope
Our customers use the Service to store and manage information, which may include personally identifiable information (“PII”) of their clients.
We act solely as a data processor of this information on behalf of our customers. We do not use, share, or sell this data for any marketing, advertising, or sales purposes.
2. Active Accounts
We retain all customer data for as long as the account remains active and in good standing. Customers have full access to their data during this period.
3. Suspension for Non-Payment
If payment is not received within 30 days of the due date, the account will be suspended.
During suspension, data remains stored and is accessible once payment is restored within the 10-day grace period.
4. Termination for Non-Payment
If payment is not received within the 10-day grace period following suspension, the account may be terminated.
Upon termination, customer data will be retained in a restricted state for 30 days to allow the customer to request data export.
After this period, all data will be permanently deleted from our systems and backups, unless retention is required by law.
5. Voluntary Termination
If a customer cancels their subscription, data will remain available in a restricted state for 30 days following termination.
Customers may request data export during this period.

6. Backups
Backups of customer data may persist temporarily beyond deletion for disaster recovery, business continuity, and compliance purposes.
Backup data is automatically purged according to our backup lifecycle, which does not exceed 90 days.
7. Customer Responsibilities
Customers are solely responsible for ensuring their use of the Service complies with all applicable data protection and privacy laws in relation to their clients’ PII.
We do not monitor, control, or validate the data customers choose to store within the Service.
8. Data Security During Retention
All retained data, whether active, suspended, or pending deletion, remains subject to our security controls, including encryption, access restrictions, and monitoring, in accordance with industry standards.
9. Legal and Regulatory Compliance
We may retain certain account, billing, or transactional records for longer periods where required to comply with legal, regulatory, or tax obligations.
10. Policy Updates
We may update this Policy from time to time to reflect changes in our practices, technology, or legal requirements. Customers will be notified of any material updates.
